Position Description:  Imagine One has an opening for a dynamic, assertive and experienced Administrative and Security Assistant.  Approximately 60% of the candidate’s time will be dedicated to providing administrative support in the Lexington Park office, performing overall office management support tasking and general clerical duties, to include filing, bookkeeping, data entry; creation and maintenance of correspondence; and other administrative duties as assigned.  The individual will also interact with other team members and assist with special projects as assigned.  Approximately 40% of the candidate’s time will be dedicated to performing day-to-day security tasking at our corporate office in Lexington Park, MD, working directly with the Facility Security Officer (FSO) on security matters, processes and procedures.
 
The Administrative/Security Assistant must be efficient in handling different situations, problems, and deviations in dealing with customers and be capable of making decisions and resolving crises pursuant to experience and established policies and procedures.  The Administrative/Security Assistant will work with supervision and rely on instructions and pre-established guidelines to perform required job functions.
 
Required Skills/Experience
  • Interface effectively with employees; and customers.
  • Provide onsite and offsite front desk administrative support on an as needed basis
  • Provide customer support during meetings
  • Ensure conference rooms have required supplies and equipment for all meetings.
  • Exceptional telephone communication skills and written communication skills including grammatical and editing skills
  • Must be highly organized and be able to prioritize tasking as well as multi-task, and a strong attention to detail
  • Independent judgement, confidentiality, discretion, strong team player, as well as the ability to identify, analyze and resolve security-related matters
  • Proficient with Microsoft Office software (Excel, Word, PowerPoint). 
  • Previous administrative support experience  
  • Positive customer service skills in an office environment
  • Typing speed of 40 words per minute or more
  • Maintain and stock all office supplies including purchasing supplies from local retailers.  Candidate should be able to lift up to 30 lbs.
  • Ability to maintain a calm and professional demeanor and be effective when dealing with new challenges
  • Prior security-related experience in support of DoD programs with knowledge of government security regulations, manuals, and processes, to include the NISPOM, ISLs, and OPSEC principles.
  • JPAS/JCAVS certification strongly preferred along with familiarity of other security database systems
  • Assist with training personnel on Annual Refresher, Insider Threat Awareness, Suspicious Contacts, Counterintelligence, Classification and Marking, Derivative Classification, Courier, Foreign Travel, OPSEC, COMSEC, Physical Security and specific training as directed by the DD254/contract/program
  • Assist with processing Facility Badges/Access Cards and help oversee all aspects of the off-site facility access
  • Assist with overseeing security clearances for personnel; process personnel for new access and periodic re-investigations and manage personnel in JPAS.
  • Assist with processing incoming and outgoing visit requests, foreign travel, indoctrinations/debriefings, etc.
  • Prepare and maintain incoming visitor data, and access lists for large meetings to include granting visitors access to classified materials
 
Security Clearance:  U.S Citizenship required. Active Secret Clearance required
